Eight Pages of Glove Prices and a Noon Order Cutoff

A 38-page supplier catalog, eight pages that mattered, a noon cutoff. How Joanne used a free tool to convert PDF to Excel online and check every new price.

10:05 AM on a Tuesday. The dental supplier's quarterly order closed at noon, and their new price list had arrived as a 38-page PDF catalog. Joanne, office manager at a four-chair dental practice, needed eight of those pages in a spreadsheet so she could check every line against what the practice paid last quarter. She needed to convert PDF to Excel, fast, and the front desk phone had already rung twice.

Thirty-Eight Pages, Eight That Mattered

Pages 12 to 19 held everything the practice actually ordered: nitrile gloves, saliva ejectors, prophy paste, bibs, sterilization pouches. Around 140 lines in total. The rest of the catalog was handpieces and chairs nobody was buying this year.

She tried the obvious thing first. She selected the table on page 12 and pasted it into Excel. Every row landed in column A as one long string, item code, description and price jammed together. Retyping 140 prices by hand before noon, between patients checking in, was not going to happen.

Her laptop was the practice's shared front-desk machine. Installing software on it meant a call to the IT contractor, who answered emails on Thursdays.

A Search Between Two Phone Calls

She typed "pdf to excel without uploading" into Google. The "without uploading" part was deliberate. The catalog wasn't confidential, but the same laptop handled patient paperwork all day, and she didn't want to get into the habit of sending files to sites she didn't know.

The MyTools converter said the conversion ran in the browser and nothing was sent to a server. No account either. She opened it in a new tab while the hold music from a lab call played through the speaker.

Page Range 12-19

She dropped the PDF onto the page. Before converting, she switched the page range from "All pages" to a custom range and typed 12-19. She hadn't expected that option. She'd assumed she would have to split the catalog first, and had already half-opened the Extract PDF Pages tool in another tab.

The output layout defaulted to one sheet per page. She left it. Eight worksheets, one per catalog page, matched the way she'd check them anyway. She also left "Preserve formatting" on, so the bold category headings stayed bold.

She clicked Convert to Excel. The progress bar finished before the receptionist came back from her break.

Rows, Columns, and Real Numbers

The workbook opened with eight tabs named "Page 12" through "Page 19". Item code in column A, description in B, pack size in C, unit price in D. The prices were numbers, not text, so a SUM worked on the first try.

She pasted last quarter's prices into a column next to each table and added a difference column. Most lines had gone up by a few cents. Two hadn't. The medium nitrile gloves had jumped from 8.95 to 11.40 a box, and the sterilization pouches had nearly doubled.

She noticed the supplier had misspelled "prophylaxis" on page 15, and the misspelling came through into the spreadsheet perfectly intact. That did not matter at all.

What Saved the Morning

Looking back, it was the page range. Converting all 38 pages would have buried the eight she needed under thirty sheets of dental chairs. Typing 12-19 saved a whole extra tool and a whole extra download.

It also helped that she didn't have to install anything on a shared machine or create yet another account. The catalog never left the laptop. When she closed the tab, the converted files were gone from the browser, and the only copy was the one she'd saved.

She knows it has limits. The supplier's older catalogs were scanned, and the converter only works on digital PDFs, the kind where you can select the text. For a catalog with dozens of scanned pages she'd still be stuck. For this one, it was enough. Next quarter she'll probably compress the PDF before emailing it to the dentist, because 38 pages of product photos made for a heavy attachment.

At 11:20 she switched the practice's gloves to another brand on the same list, cut the pouch order in half, and submitted. Forty minutes to spare. If a price list is trapped in a PDF, you can turn just the pages you need into a spreadsheet the same way. Try PDF to Excel for free →
